Setting return and exchange addresses correctly
A return address is not one field. Set wrong, it sends returns to a platform hub, the wrong country, or an address nobody signs for. Here is the order: address ownership, who declares, who pays.
Decide who owns the return before you type anything
There are only two places a return can go: the platform's own return hub, or you. That decision determines everything else — the address, the cost, the timescale, and who has to pay.
The mistake is to set a return address without deciding this, and then discover the problem when a customer in another country asks who is paying to send a five-dollar item back.
Setting A: returns to you
The customer gets a return address that is yours or your warehouse's. You control what happens to the goods, but you also own the cost and the customs treatment.
What has to be in place:
- The address on your listing, your shipping confirmation and your platform settings must be identical
- The address must be in the destination country, or you must explain to the customer why it is not
- You need a decision about who pays the return freight
- The customer needs to know what to do with the tracking number
- You need a rule for what happens when the return arrives
Item 3 is the one that causes arguments. Some sellers absorb it, some deduct it from the refund, some require the customer to use a specific label. Pick one, write it in your listing, and it stops being a dispute.
Setting B: returns to the platform hub
The platform's own return address is used. This is simpler for the customer and it removes the international return leg from your problem entirely, because the platform handles it.
What it costs you: you usually get less control over inspection, and refunds are decided under the platform's policy rather than yours.

The address itself has to be right, character by character
If you use your own warehouse address as the return address, copy it from the account page rather than typing it. The format is:
Your name / Warehouse number / Warehouse address / City, China / Your member ID
A duplicate name field, a missing warehouse number, or an old address left in the settings are all causes of returns that arrive and cannot be matched to an order.

Decide what happens when it arrives, before it arrives
A return that arrives with no agreed process is worse than one that never arrives, because you have the goods and no plan. Settle in advance:

The last row catches people. A returned-to-sender parcel has already lost two legs of transit, and the customer has waited the whole time. Whether you re-send or refund is a decision that is much better made in advance.
One more thing to settle in advance: who logs the return into the system. If nobody does, stock keeps showing as sold and you end up either overselling or unable to reconcile. Assign that step to a person, not to a role.
The address also has to appear in two places: once on the product page, and again in the shipping confirmation email. On the product page alone, the customer never read that page when they ordered, and the parcel comes back to the wrong place. The confirmation email is the one copy you know they have.
Do not ship forward and return to the same address without checking
Some domestic warehouse addresses work for outbound but not for inbound returns, because the receiving side needs a different identifier. If returns share the outbound address, confirm with the warehouse that inbound parcels are accepted there and can be matched to an order.
